Maredith Management works with qualified vendors and contractors to support the operational, maintenance, and improvement needs of the communities we manage.

Companies interested in providing services must complete the required vendor registration and compliance process before they can be considered for community assignments or contract opportunities.

Become an
Approved Vendor

Maredith Management has a responsibility to help its association clients evaluate whether vendors meet applicable business, licensing, insurance, and compliance requirements.

Maredith uses VIVE, a third-party vendor compliance platform, to manage the registration and screening process.
Registration is required for vendors seeking to perform work for Maredith-managed associations.

Registration confirms that a vendor has completed the required compliance process. It does not guarantee project assignments, bid invitations, contract awards, or a specific volume of work.

What You Will Need to Register

Be prepared to provide information and documentation such as:

Company Information

  • Legal business name
  • Business address
  • Primary contact information
  • Business structure
  • Tax identification information

Tax and Agreement Documents

  • Completed Form W-9
  • Vendor agreement
  • Required acknowledgements
  • Applicable registration fee

Trade and Licensing Information

  • Services and trade categories
  • Applicable professional or contractor licenses
  • License numbers and expiration dates
  • Service territories

Insurance Documentation

  • General liability insurance
  • Workers’ compensation documentation, when applicable
  • Automobile insurance, when applicable
  • Other coverage required for the services being offered

VIVE will provide the current documentation and compliance requirements during registration.

Already Registered?

Existing vendors can log in to VIVE to:

  • Review registration status
  • Update company information
  • Upload renewed licenses
  • Update insurance certificates
  • Resolve compliance issues
  • Renew annual registration

Keep your information current to reduce delays when your company is being considered for a service request or contract.

Submit an Invoice

Registered vendors should submit invoices according to the instructions provided by the community manager or work authorization.

Email Submission

Email the invoice to the appropriate community manager when instructed to do so.
Include:

  • Association or HOA name
  • Invoice number
  • Invoice date
  • Service location
  • Description of completed work
  • Approved proposal, contract, or work order reference
  • Itemized charges
  • Supporting documentation, when applicable
  • Vendor contact information

Replace “Association or HOA Name” with the full legal name of the community being invoiced.

Questions About an Invoice or Payment

Payment inquiries should include enough information for the accounting team to identify the invoice. Please provide:

  • Vendor company name
  • Association or HOA name
  • Invoice number
  • Invoice date
  • Invoice amount
  • Date and method of submission
  • Name of the community manager or
  • Maredith contact
  • Brief description of the question

Do not use the inquiry form as a substitute for submitting an invoice unless directed by Maredith Management.

Companies that have not been specifically invited to bid may submit a brief introduction after completing the required vendor registration process.

Does registering with VIVE guarantee work?

No. Registration verifies completion of the required vendor compliance process but does not guarantee bids, contracts, assignments, or project opportunities.

Vendor compliance documents should generally be submitted through VIVE so they can be properly reviewed and tracked.

Use the full legal name of the association or community that received the service, not simply “Maredith Management.”

Payment timing depends on factors such as invoice accuracy, required approvals, contract terms, available supporting documentation, and the association’s payment process.

Contact the community manager or the individual who authorized the original service. Additional or out-of-scope work should not begin without appropriate authorization.

Vendor registration for association work does not automatically authorize direct marketing to homeowners. Any homeowner directory, promotion, or marketing opportunity should be handled separately and requires applicable approval.
